Privacy Policy

We're straight-up serious about protecting your information

Last Updated: October 28, 2025

Introduction

Look, we get it - nobody actually reads these things. But here at Mythral Crest Hotel, we're committed to being transparent about how we handle your personal info. This isn't just legal jargon (though there's some of that too). It's our promise to you about keeping your data safe while you're enjoying the mountains.

This policy covers everything we do with your information when you stay with us, book through our site, or even just browse around. We're based in Alberta, Canada, so we follow PIPEDA (Personal Information Protection and Electronic Documents Act) along with provincial privacy laws.

Information We Collect

When you're booking a room or reaching out to us, we'll need some basics:

  • Name and contact info (email, phone number, address)
  • Payment details and billing information
  • ID or passport info (we're required to collect this for check-in)
  • Special requests or preferences (dietary needs, room preferences, that sort of thing)
  • Emergency contact details
  • Loyalty program information if you've joined our rewards system

Like most websites these days, we automatically gather some technical info:

  • IP address and browser type
  • Device information and operating system
  • Pages you visit on our site and how long you stick around
  • Referral sources (how you found us)
  • Location data (general area, not your exact coordinates)
  • Cookies and similar tracking tech (more on that below)

Sometimes we receive information about you from other sources like:

  • Travel agencies or booking platforms (if that's how you found us)
  • Business partners for corporate bookings
  • Social media platforms if you've interacted with us there
  • Credit reporting agencies for fraud prevention

How We Actually Use Your Information

We're not in the business of selling your data. Here's what we do with it:

Service Delivery

Processing your reservations, managing check-in/out, providing the services you've booked (spa treatments, tours, dining reservations)

Communication

Sending booking confirmations, pre-arrival info, responding to your questions, sharing important updates about your stay

Payment Processing

Handling transactions, preventing fraud, processing refunds if needed

Personalization

Remembering your preferences for future visits, customizing your experience based on past stays

Marketing

Sending promotional offers and updates (only if you've opted in - we won't spam you)

Legal Compliance

Meeting regulatory requirements, responding to legal requests, protecting our rights and yours

Who We Share Your Info With

We don't hand out your information like hotel brochures. But sometimes we need to share it with trusted partners:

Service Providers

Payment processors, booking systems, email services, cloud storage providers - basically the tech that keeps everything running smoothly. They're contractually required to protect your data.

Business Partners

Tour operators, ski rental companies, spa product suppliers - but only what they need to provide the services you've requested.

Legal Requirements

If we're legally required to (court orders, government requests, etc.), or to protect someone's safety or our property.

Business Transfers

In the unlikely event we sell or merge the business, your info would be part of the transferred assets (but the same privacy protections would apply).

Cookies & Tracking Technologies

Yeah, we use cookies - and not the chocolate chip kind (though we've got those in our restaurant). Here's the deal:

Cookie Type What They Do Can You Opt Out?
Essential Make the website actually work - login sessions, shopping cart, security features Required
Performance Help us understand how people use the site so we can improve it Yes
Functionality Remember your preferences and choices Yes
Marketing Track effectiveness of our ads and show you relevant content Yes

You can manage your cookie preferences through your browser settings. Just know that blocking certain cookies might make some features wonky.

How We Keep Your Data Safe

We take security seriously around here. Here's what we've got in place:

Encryption

SSL/TLS encryption for all data transmission

Secure Storage

Protected servers with restricted access

Access Controls

Only authorized staff can access your info

But let's be real - no system is 100% hack-proof. We do everything reasonably possible to protect your data, but if something does happen, we'll let you know ASAP and help you through it.

Your Privacy Rights

Under Canadian privacy law, you've got some solid rights when it comes to your personal information:

Access

You can ask to see what personal info we have about you. We'll provide it within 30 days (usually sooner).

Correction

Spotted something wrong? Let us know and we'll fix it right away.

Deletion

Want us to delete your data? We can do that (unless we're legally required to keep it).

Portability

Request a copy of your data in a commonly used format.

Opt-Out

Don't want marketing emails? Unsubscribe anytime - there's a link in every message.

Complaint

If you think we've mishandled your info, you can file a complaint with the Privacy Commissioner of Canada.

How Long We Keep Your Data

We don't hoard your info forever. Here's our retention schedule:

  • Reservation & stay records: 7 years (tax and accounting requirements)
  • Payment information: As long as legally required for financial audits
  • Marketing preferences: Until you unsubscribe or ask us to delete them
  • Website analytics: Up to 26 months
  • CCTV footage: 30 days unless needed for security/legal purposes
  • Guest preferences: We'll keep these until you ask us not to (makes future stays easier)

After these periods, we securely delete or anonymize your information.
